Responsibilities

Oversees the Accelerated Master Program. This entails assisting with recruitment to the AMP program as well as all administrative support, to include admissions to the program, advising students on course and program requirements, record-keeping, and processing eDoc submissions related to the AMP degree
Provides general administrative support for the graduate office, including answering questions about the program and requirements from both current and prospective students, advising students when and how to complete administrative forms, assisting students with scheduling meetings with faculty committees, among other general tasks
Remains fully up to date on departmental and university policies and procedures and maintains proficiency in relevant software systems and applications used by the graduate office
Maintains up to date and accurate records and run audits of graduate student progress for DGS
Collects graduate course descriptions and enters all authorizations for any student enrolling in political science graduate courses
Processes graduate admissions, which includes communicating with applicants about missing application materials, extending offers to admitted students, overseeing the admission process once offers are accepted
Plans graduate events and social activities, to include new student orientation, graduate celebrations, graduate recruitment visits, etc
Produces student contracts for funded students, collects signatures and shares with appropriate hiring office
Processes scholarship funds to graduate students using university system
Updates and maintains graduate page on the departmental website
Assists with administrative needs related to the daily operations, planning, and implementation of various or multiple student services initiatives. Performs duties such as attending a front desk, answering phones and email, and delivering messages and mail
Serves as a liaison to campus partners for cross-departmental student services initiatives, providing information, securing space reservations, scheduling planning meetings, and providing necessary documentation
Provides assistance to student participants, stakeholders, faculty, and/or staff; acts as a resource by analyzing information, providing documentation, and preparing reports. Accurately maintains student records and databases
Provides directions, support, and information to student organization representatives and other visitors to the department
Assists with daily scheduling, training, and gathering of student feedback. May prepare and disseminate handouts, presentations, or other materials
Assists with ordering or creation of promotional materials for student organizations or departmental needs
Takes on tasks of increasing complexity, such as performing benchmarking research of student services initiatives at other higher education institutions or designing routine surveys to gauge student satisfaction and program effectiveness
May provide guidance to other Student Services Coordinators

Required

High school diploma or equivalent (such as HSED or GED)
2 years of in office environment, higher education, or related field

Preferred

Bachelor's degree
Experience working in a higher education or academic office setting
