Responsibilities
Interview department leads and staff across intake, paralegals, attorneys, admin, billing, marketing, and IT
Capture how work •actually• happens and translate it into structured documentation
Map end-to-end workflows (intake → case preparation → filing → follow-ups → billing → renewals)
Create clear SOPs, templates, checklists, and handoff rules
Define ownership, backups, and escalation paths (RACI-style)
Identify bottlenecks, capacity constraints, and operational risk points
Propose practical KPIs leadership can use to manage throughput and quality
Deliver a consolidated Operations Black Book that becomes the firm’s internal source of truth
Qualification
Required
Experience as a Legal operations analyst or consultant
Experience as an Operations manager or business operations lead
Experience as a Fractional COO, chief of staff, or practice operations professional
Experience as a Consultant who has led process documentation and SOP builds in professional services
Built SOPs and process libraries before (and can describe how)
Comfortable interviewing senior professionals and extracting signal quickly
Ability to work independently with minimal hand-holding
Clear writing and logical structuring of information
Understanding that good operations documentation must survive staff turnover
Process mapping and SOP development skills
Strong documentation discipline and systems thinking
Advanced Excel or Google Sheets skills
Familiarity with tools like Notion, Confluence, Lucidchart, or Miro
Preferred
Experience in law firms, immigration practices, consulting firms, healthcare clinics, or other regulated, deadline-driven environments
