Scheduling Coordinator

Evergreen Healthcare Group is seeking a Scheduling Coordinator to create, maintain and manage schedules for nursing staff. The role involves coordinating with staff, maintaining records, collaborating with management, and utilizing scheduling software to ensure adequate coverage for shifts.

Responsibilities

Develop and maintain nursing staff schedules to ensure adequate coverage for all shifts, in accordance with center facility assessment. Post schedules for staff at least two weeks in advance
Adjust schedules based on staffing needs, census fluctuations, new admissions and employee availability
Utilize schedule to minimize overtime and temporary agency usage
Communicate with nursing staff regarding their schedules, shift changes, and time-off requests
Address any scheduling conflicts or issues that arise
Communicate daily any change of resident status as pertains to scheduling as needed
Keep accurate records of staff attendance, time-off requests, and shift swaps
Maintains tracking system for license renewals and OBRA compliance
Work closely with center HR/PR/BOM to manage accurate time keeping records to maintain Center compliance with PBJ submissions
Ensure compliance with federal and state regulations, labor laws, Center policies, and Union contracts (if applicable) for nursing staff
Work closely with nursing home management to understand staffing needs and budget targets
Communicate with the Director of Nursing regarding open nursing positions
Communicate staff reported discrepancies to the ED/DNS to foster positive relationships with staff and reduce turnover
Manage and report labor hours on a per patient day basis to the Executive Director and Director of Nursing Services daily
Utilize scheduling software (where available) to create and update staff schedules
Train staff on how to use the scheduling system if necessary
Other duties, as assigned

Required

Must be a CNA or CMA
Strong organizational and time-management skills
Excellent communication and interpersonal skills
Ability to handle multiple tasks and work under pressure
Familiarity with scheduling software and tools
High school diploma or equivalent

Preferred

Previous experience in a similar role, preferably in a healthcare or nursing home setting
Additional education or certification in healthcare administration is a plus
