Senior Secretary
The State of South Dakota is seeking a Senior Secretary for the Department of Health - Division of Finance and Operations. This position performs high-level clerical support functions, manages correspondence, prepares legal documents, and serves as a resource for training and guidance to other staff members.

Responsibilities
Perform professional and secretarial functions or high-level clerical support functions for the Department of Health, Office Administrators and Program Managers
Serving as backup to the first contact for the public and callers to the Department of Health
Routing calls
Greeting guests
Data entry and research for various programs
Coordinating meetings
Preparing and sending large mailings
Confidentiality of patient records
Preparation of various reports
Developing and implementing procedures related to their assigned duties
Analyze the procedures used for the department and bring solutions
Prepare legal documents for various applications including court filings
Research the type of document and the specific court and their requirements
Manage correspondence
Prepare reports
Maintain various recordkeeping for the entire department
Schedule meetings and interviews
Coordinate and staff events
Create and publish meeting materials
Provide support during events and meetings as needed
Know and utilize purchasing regulations
Manage and maintain data related to assigned duties such as immunization records, reports to the Department Secretary, and legal documents
Updating databases
Generating reports
Analyzing data to support decision-making processes
Serve as a resource for training and guidance to other staff members at all levels
Development of 'best practices' and training materials
Offer ongoing support to ensure staff are proficient in their roles
Prioritize projects and requests to ensure timely completion within changing deadlines
Serve as a gatekeeper of personally identifiable information and make decisions on whether records may be released based on verification of identity prior to releasing records to patients
Qualification
Required
Ability to prioritize and successfully complete multiple projects at one time, often with interruptions and directional changes due to needs within the organization
Knowledge of Computers and a variety of programs including Microsoft Office Suite software (Outlook, Word, Excel, and Access) as well as specialized programs within the Department
Skill to manage multiple projects with attention to detail, accuracy and timeliness, and to prioritize those projects as necessary, asking appropriate questions when needed
Ability to work in collaborative team environments and demonstrate effective time management and organizational skills, often handling multiple projects at one time, to pay attention to detail, to communicate effectively and efficiently
Flexibility to prioritize projects and requests to ensure timely completion within changing deadlines

Preferred
Experience with secretarial and administrative support duties
