Executive Assistant

Responsibilities

Maintain front desk Procedure Manual
Greet and screen visitors
Answer and screen telephone calls for IFA, Office of Energy Development, Board for Depositories, and Indiana Education Savings Authority
Respond to routine inquiries and/or make appropriate referrals
Make updates and changes to the IFA website
Prepare monthly payment notices for State Revolving Fund
Price and order office supplies as necessary
Coordinate scheduling of conference rooms
Arrange meetings and order lunch when necessary
Print and distribute monthly IFA Board Packets
Send faxes for staff members when requested
Make copies as requested
Appropriately distribute incoming mail and other materials for all agencies on the floor
Deliver items as requested within walking distance
Post and mail meeting notices and agendas as requested for meetings
Schedule meetings and conferences for staff
Serve as key operator of all office machines, including routine upkeep, ensuring tonor is ready, loading paper, and montioring faxes

Required

High school diploma or equivalent
Highly organized – able to handle multiple tasks
Experience with Microsoft Word, Power Point, Outlook, Excel and Adobe Pro
Typing skills – minimum 50 wpm
Knowledge of office machines
Above average clerical skill; knowledge of English grammar, spelling, punctuation, and formatting
Good interpersonal relationship skills; ability to communicate with persons of all educational and social backgrounds
Ability to exercise independent judgment within established guidelines and procedures

Preferred

Office experience or accredited training preferred
