Administrative Support Specialist
North Carolina Central University (NCCU) is a historically Black university located in Durham, North Carolina, dedicated to fostering innovation and progress. The Administrative Support Specialist will provide vital administrative and budget support to the Environmental Health and Safety (EHS) team, ensuring excellent customer service and effective management of departmental operations.

Responsibilities
Receives requests for EHS services from faculty, staff, and/or students and records all relevant information and provides the request to the EHS Director and staff
Assists the Director and EHS staff in coordinating plans and schedules to complete regularly scheduled tasks, inspections, and emergency/priority issues
Communicates routine and general information to staff, clients, and/or public about standard services, processes, and procedures using prescribed or established guidelines
Screens and directs clients /visitors to appropriate source
Gathers readily available information from office records to draft e-mails, memos and other documents
Proofreads documents for grammar, spelling, punctuation, and basic formatting
Provides answers to requests for general information
Monitors and reconciles departmental or program budget and tracks travel and office expenditures
Enters information into NCCU Purchasing systems (requisitions, invoice processing, creating purchasing orders) and routes for approvals
Reconciles records for purchasing cards and ensures incoming invoices are matched to purchase orders and reconciled
Assists EHS personnel with travel arrangements and entering travel into NCCU systems
Records, compiles and summarizes data using established format
Compiles and organizes information from different sources to organize and coordinate data and develop reports
Assists the Director EHS in ensuring all reports are scheduled, planned, and completed on time
Ensures annual inspections required by EHS reporting and/or coordinated with laboratories and other campus entities are scheduled and completed
Qualification
Required
Experience with financial budgets including purchasing, reconciliation, etc
Experience adjusting language or terminology to meet the needs of the audience
Experience designing projects and working with minimal supervision
Prioritizing work and meet deadlines
Professional level skills in Microsoft Word, Excel, Outlook, and PowerPoint to meet organizational needs
Experience adapting to change and work in a fast-paced environment
Experience following up and through on assignments with minimal supervision
Substantive knowledge of office or work unit procedures, methods, and practices
Demonstrate and apply knowledge in performance of administrative tasks
Experience providing excellent customer service
Compile, assimilate, and organize both printed and electronic information
Experience applying knowledge of data collection, storage, organization, manipulation, and or analysis of data
Exercise judgment, discretion, and negotiation skills in problem situations
Learning, interpreting, and explaining policies, regulations, and programs
Responding to inquiries and coordinate a variety of resources in acquiring and disseminating information
Working collaboratively with diverse groups
Excellent verbal and written communication skills
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience
Preferred
Prefer at least an Associate's degree, with a focus in business, accounting, or management
