Responsibilities

Assist the FYE Coordinator in the implementation of orientation programs for supporters of first-year and transfer students, collaborating with campus partners to create meaningful and inclusive experiences
Assist the FYE Coordinator in advising students and supporters to facilitate transitional programming during in-person and online orientations, move-in days, recruitment events, and other key university programs
Assist with training student staff, including student parent liaisons and orientation leaders, to effectively support student and family orientation and engagement efforts
Incorporate assessment and feedback to refine orientation content and delivery
Maintain detailed records, reports, and documentation to support program evaluation and decision-making
Assist the FYE Coordinator to design, plan and coordinate orientation and Parent & Family Weekend events
Maintain a detailed knowledge of campus policies and procedures to plan and coordinate programs, including but not limited to: staffing, facilities requests, risk management, minor/youth protection policy and time place and manner policies
Establish and maintain close working relationships with other campus offices and departments both in-person and via electronic communication to coordinate inclusive orientation programs with institutional goals and learning outcomes
Stays abreast of current trends and best practices in student support programs often by attending seminars and conferences for program and professional development
Assist the NSP Director to oversee daily operations of Campus Visits Program, including daily tours, group tours, virtual tours, VIP visits and recruitment events
Helps to coordinate all in-person and virtual tour logistics and responds to needs and inquiries (phone, mail, email, in-person) directed to campus tours
Assist the NSP Director when managing student work schedules, and resolve all scheduling challenges to ensure campus tours take place as scheduled
Utilize web-based tour platforms, including online reservation programs, Zoom sessions, Guidebook, and Salesforce, to gather reports and coordinate continued outreach to campus visitors
Assist in oversight of office student assistant operations, ensuring efficient handling of inquiries, orientation and tour registration, and scheduling
Assist in recruitment, hiring, training, and supervision of office student assistants, fostering a supportive and professional environment. Assist the front office overage to ensure students are being served during normal business hours, lunches and breaks
Serve as a mentor for student employees. Using a working knowledge of campus resources and professional experience to guide student employees
Assist the FYE Coordinator to develop and manage a Family Advisory Board, recruiting and supporting members to serve as student advocates and collaborators in program initiatives that support the transition of first-year and transfer students
Assist the FYE Coordinator in creating and reviewing communication materials, including newsletters, handbooks, webinars, and parent portal, to keep students and families informed throughout admissions and transition phases
Assist with maintaining and updating the parent and family website with relevant and timely resources ensuring it reflects current outreach, marketing efforts, and relevant information to support the transition and success of students
Assist in overseeing the development and timeline of communication materials developed for students and families sent out through enrollment management CRM system
Coordinate with campus partners to secure department / office speakers, workshop presenters, panelists, and other contributors to family orientation and engagement programs
Perform other job-related duties and special projects as assigned

Required

Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job-related field
Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth
Demonstrated ability to make decisions and carry through actions having implications with regard to other program or service areas
Ability to interpret and apply program rules and regulations; use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements; obtain factual and interpretative information through interviews; reason logically; collect, compile, analyze and evaluate data and make verbal or written presentations based on these data; advise students individually and in groups on routine matters where required; recognize multicultural, multi-sexed and multi-aged value systems and work accordingly; establish and maintain cooperative working relationships with faculty, CSU administrators, student organizations, private and public agencies and others in committee work, and student advising and community contacts; and, rapidly acquire a general knowledge of the overall operation, functions and programs of the campus to which assigned

Preferred

Master's degree in a job-related field
Working knowledge of Oracle/PeopleSoft Campus Solutions system and CRM Systems, as well as other student-based computing environments
Thorough and comprehensive knowledge of academic programs, including curricula, admissions requirements, and financial aid programs at colleges/universities and specifically at CSU, and/or specific colleges and schools
Knowledge of languages in addition to English, both oral and written
Knowledge of CSU admissions practices and procedures, including undergraduate evaluations and transfer credit policies
Technical fluency with Oracle/PeopleSoft, CSU Common Management System or equivalent information system; Microsoft Office Professional; Google Workspace (Gmail, Docs, Sheets, Drive, Calendar, Forms, etc.); 25Live; intranet drives; and internet browsers
