Primary/Secondary Education

Responsibilities

Serve as secretary to an administrative official for the department
Perform a wide variety of complex and responsible clerical work
Interpret policy and administrative regulations
Have knowledge of division programs, organization functions and procedures and general clerical duties
Take shorthand notes form dictation and accurately transcribe them on a typewriter when required by the position
Type a variety of materials
Do related work as required
Does a wide variety of work including typing, proofreading, filing, checking, and recording information on records, by data or manually
May take shorthand notes form dictation and accurately transcribes them
Answers the telephone and waits on students or the general public, give information as required
Types letters, memorandums, book lists, bulletins, or other material form oral direction, rough draft, copy or notes
Operates adding machines, duplicating machines and other office equipment
Composes routine letters
Sorts and files documents and records according to predetermined classifications, maintaining alphabetical, index, and cross reference files
Performs mathematical calculations, mails out letters, forms and applications
Receives, sorts and distributes incoming and outgoing mail
Acts as a receptionist
Assists in making out forms
Prepares statistical reports
Operate data or word processing equipment
Secretarial duties
Interviews callers often with urgent or important business, in person and over the telephone and chooses among alternate course of action
Transcribes machine tapes, material of a confidential nature, letters, reports, legal forms and actions, briefs, contracts, specifications, bulletins, memoranda
May be responsible for preparation and assembling of Board agenda items
Attends meetings and conferences and records proceedings
Independently composes correspondence or memoranda when such material does not involve policy questions
Screens and routes correspondence, forwarding important information
Independently maintains or supervises the maintenance of complex files including records of various Federal and State projects
Collects statistical, financial and administrative reports including the department budget
Makes travel and hotel and conference arrangements
Arranges for the coordinates curriculum-clerical project, and public meetings
Orders and maintains office supplies
Directs clerical assistants
May be required to translate by reading, writing, and/or speaking a second language (preferably Spanish)
May be required to operate on site radio equipment

Required

Not less than three years of clerical secretarial experience of an increasingly responsible nature, including stenographic, preferably including some experience in a school district
Equivalent to completion of the twelfth grade including or/supplemented by courses in secretarial practices
Take dictation either in shorthand or by using electronic dictating equipment at an acceptable rate and to transcribe it accurately
Type at a speed of 50 words per minute from clear copy
Perform clerical work of average difficulty, including ability to spell correctly, use good English and make arithmetical calculations
Operate standard office equipment
Learn to operate data processing, word processing and peripheral equipment
Follow oral directions
Get along with students, teachers, co-workers and the public
Proof of HS Graduation (Or Equivalent)

2 Letters of recommendation not required for internal applicants, but highly encouraged
Some positions may require the ability to take dictation at a rate of 80 words per minute and transcribe it accurately
