Responsibilities

Oversee all financial operations of the KAI office, including budgeting, forecasting, expense control, and variance analysis
Ensure timely month-end and year-end closing in accordance with HQ requirements
Manage accounts payable/receivable, vendor invoices, reimbursements, and corporate credit card programs
Liaise with external accountants, auditors, tax agents, and payroll providers to ensure compliance with federal, state, and local regulations
Prepare financial reports for HQ, ensuring accuracy and adherence to Group Finance standards
Support audit processes and internal control reviews
Act as the day-to-day manager for all office operations, ensuring a well-functioning work environment for a team of 4–5 staff
Oversee office facilities, leases, IT coordination (with HQ or external vendors), procurement, and inventory management
Manage relationships with external service providers, including banks, landlords, insurers, and professional service firms
Ensure compliance with U.S. employment, immigration, and data-protection requirements
Serve as the on-site HR liaison between the KAI office and HQ
Coordinate U.S. payroll, benefits administration, onboarding/offboarding, and performance cycle inputs
Support visa processing or work authorization matters for staff where required
Maintain employee records in compliance with federal and state laws
Support recruitment and onboarding of interns (4–5 annually), including orientation, scheduling, and program coordination
Ensure the office adheres to all relevant internal policies (finance, procurement, governance, delegations of authority)
Support KYC, AML, and compliance documentation for investment activities as needed
Coordinate completion of internal control assessments and risk registers
Ensure business continuity plans are up-to-date and operational
Support logistics for visiting delegations from Malaysia, including government officials, Board members, and senior executives
Assist in planning events, investor meetings, roadshows, and diplomatic/industry engagements
Provide administrative and coordination support for meetings with U.S. partners, advisors, and external stakeholders
Represent the professionalism and brand of Malaysia and the sovereign wealth fund in all engagements

Required

Bachelor's degree in Accounting, Finance, Business Administration, or a related field
At least 7–10 years of relevant experience, ideally in a finance, office management, operations, or administrative role
Strong knowledge of U.S. payroll, benefits, employment laws, and general compliance
Proficiency in accounting systems, financial reporting tools, and Microsoft Office Suite
Experience in interacting with senior stakeholders and managing confidential information
Ability to work independently with minimal supervision while interfacing effectively with HQ
High integrity, discretion, and strong ethical standards
Strong organizational and multi-tasking skills
Excellent communication and interpersonal abilities
Detail-oriented, with strong financial acumen
Problem-solving mindset and ability to operate in a fast-paced environment
Professional presence suitable for engaging with senior executives and official delegations
Cultural awareness and sensitivity when engaging with local and foreign stakeholders

Preferred

Prior experience supporting a small or regional office of a multinational company, financial institution, or government-linked organization is highly preferred
