Responsibilities
Review aging reports and coordinate collection follow‑ups, documenting activity in ERP (Intacct), CRM software, and Excel
Research and resolve missing payments and customer inquiries
Generate and process statements and dunning notices
Manage maintenance contract billing and renewals
Maintain customer records and notes in CRM software
Assist and back up the Service Coordinator with dispatching, creating work orders, and responding to customer inquiries
Answer phones and greet visitors with a customer‑focused, professional presence
Provide general administrative support to help ensure smooth daily operations
Manage and order office supplies
Receive and process customer payments (ACH, checks, credit cards)
Run checks through the deposit machine and prepare deposit reports
Batch undeposited funds into bank deposits
Identify and resolve payment irregularities
Qualification
Required
Two years of post–high school education OR three years of bookkeeping/accounting experience
Comfortable with numbers and basic bookkeeping concepts
Experience with accounting software (Sage Intacct a plus)
Proficiency with Microsoft Office 365 (Word, Excel, Teams)
Strong general computer and technical aptitude
Excellent attention to detail and organizational skills
Strong communication and customer service abilities
Preferred
Service or construction industry experience a plus
