Reception/Administrative Assistant
Woodruff & Smart is a full-service local government law firm dedicated to delivering high-quality legal services. They are seeking a motivated Receptionist/Administrative Assistant to be the first point of contact for clients and manage various office tasks under the guidance of the Director of Administration.
Law Practice
Responsibilities
Greet guests and offer refreshments
Answer a multi-line phone system
Maintain calendar of conference room meetings and provide general hospitality services (e.g. make coffee, set up and cleanup of conference rooms, etc.)
Distribute parking validations and maintain reception logs
Process and route incoming mail and electronic communications upon receipt as well as prepare outgoing mail (including packages for shipment)
Coordinate and support company events, including planning, logistics, and on‑site execution
Draft, edit, and distribute monthly newsletters and other internal firm-wide communications
Work in cooperation with Office Services and coordinate facilities issues with building management
Assist with various administrative tasks such as filing, copying, and data entry
Qualification
Required
High School diploma or GED equivalent
At least 1 year of related experience
Positive attitude and ability to work both independently and in a team environment
Excellent communication and interpersonal skills
Excellent customer/client service
Attention to detail and accuracy
Strong organizational skills
Ability to maintain client and firm confidentiality
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment
Ability to use good judgment when working in challenging situations
Advanced knowledge of Microsoft Office
