Executive Assistant

Middle East Institute is the oldest Washington-based institution dedicated to the study of the Middle East. They are seeking an Executive Assistant to provide administrative and operational support to the Chief of Staff and the Executive Office.

International Affairs

Responsibilities

Provide day-to-day administrative support to the Chief of Staff and Executive Office
Manage expense reports for the CEO, COO and VP of outreach
Assist with scheduling, meeting preparation, and logistical coordination as needed
Prepare, distribute, and track official communications (emails, letters, and memoranda), ensuring timely follow-up and accurate documentation
Maintain databases and contact lists in Salesforce, tracking responses and outstanding follow-ups for executive initiatives and institutional priorities
Coordinate with internal departments, including Events, Development, Policy, and the Executive Office, to facilitate information flow and task completion
Support tracking and reconciliation of responses to executive requests, ensuring completion and compliance with internal processes
Communicate professionally with external stakeholders, partners, and constituents on behalf of the Executive Office
Perform general administrative duties, including filing, scanning, mailing, and document management
Undertake special projects and additional administrative tasks assigned

Required

Bachelor's degree or equivalent professional experience preferred
Strong proficiency in Microsoft Office, particularly Excel and Word (data tracking, spreadsheets, reporting)
Excellent written and verbal communication skills; professional telephone etiquette required
Strong organizational skills with keen attention to detail
Ability to manage multiple tasks, meet deadlines, and follow up independently
Discretion and professionalism when handling confidential and sensitive information
Ability to work independently with minimal supervision while collaborating effectively as part of a team

Preferred

Interest in international affairs, public policy, or nonprofit administration is a plus
