Administrative Secretary

CPC Integrated Health is seeking an Administrative Secretary I to provide support services and routine administrative functions for their office. The role involves managing schedules for medical staff, performing routine administrative tasks, and maintaining communication with clients and team members.

Responsibilities

Scheduling appointments and follow-up appointments
Responding to client requests for letters
Following up and confirming upcoming appointments
Greeting clients
Collecting co-pays
Assisting with intake paperwork
Scanning
Inputting data to the Electronic Health Record (EHR)
Answering phones
Answering general questions
Transferring calls to the proper person (e.g., clinical staff, billing staff, case managers, etc.)
Performing routine administrative tasks including reception, scheduling, intake, collection, and reporting of fees, tracking projects, word processing, typing, reproduction, filing and phone coverage for a particular Division or Program
Independently preparing routine correspondence for Supervisor and/or Division Director
Independently reviewing and evaluating job-related activities and processes and developing procedures to enhance productivity
If assigned, maintaining, disbursing, and keeping record for the office petty cash system
Providing periodic reports or statistics on office program activities as required
Working with other Administrative Support Personnel to ensure communication and support task coverage as assigned by Supervisor
Completing requisition and maintaining vouchers for office supplies and equipment related to the activities within the Department/Division
Scheduling and attending meetings
Accurately preparing agendas for meetings, and recording, typing, and distributing minutes of the meetings
Maintaining professional decorum and judgment
Adhering to Agency policies and procedures relating to confidentiality of staff and client information
Independently monitoring the status of projects assigned
Independently providing Supervisor with updated information related to assigned projects

Required

High School Diploma or equivalent
three previous years' experience, one of which at Administrative I level
knowledge of word processing and routine secretarial tasks
ability to work closely with other team members
ability to manage schedules for medical doctors and Advanced Practice Nurses (APNs)
ability to conform to a flexible work schedule when required by office needs
computer literate
proficiency with MS Office
ability to maintain good standards for office and personal appearance
ability to maintain confidentiality
ability to perform repetitive movement while using the computer
ability to independently prepare routine correspondence
ability to review and evaluate job-related activities and processes
ability to develop procedures to enhance productivity
ability to maintain, disburse, and keep record for the office petty cash system
ability to provide periodic reports or statistics on office program activities
ability to ensure communication and support task coverage as assigned by Supervisor
ability to complete requisition and maintain vouchers for office supplies and equipment

Preferred

certificate from a recognized Business or Secretarial School
