Senior Administrative Assistant, Office of the Superintendent

Responsibilities
Compiling and analyzing data related to special projects at the discretion of the Superintendent of Schools and/or Chief of Staff
Analyzing reports, laws, regulatory directives and guidelines, and other documents to keep consultants and administrative staff apprised of effects on organization, records and procedures, or financial status
Determining new organizational programs to establish and maintain controls and improve efficiency
Assisting the Superintendent and/or Chief of Staff by formulating or reviewing administrative policies and updating and writing procedure manuals, bulletins, and forms
Composing, reviewing, and disseminating correspondence and memorandums on behalf of the Superintendent of Schools and/or Chief of Staff
Obtaining data from reports and records from other jurisdictions or District departments and preparing special reports or calculations
Providing information to the public regarding District policies, rules, and regulations in person and over the phone, consulting with staff, parents, and community members to aide in the resolution of issues
Qualification
Required
Graduation from a recognized college or university with a bachelor's degree preferably in business, public, or school administration
Four years of experience in an administrative staff position requiring the analysis, compilation, and reporting of data, preferably with experience in financial matters
Demonstrated knowledge of personnel administration, budgetary and fiscal practices, public relations, and modern office management principles
Working knowledge of District policies, procedures, and organizational structure
Strong written and verbal communication skills, including the ability to draft procedures, instructions, manuals, correspondence, and bulletins
Ability to make effective oral presentations
Ability to exercise sound judgment, initiative, and discretion
Ability to plan, prioritize, and manage multiple assignments to meet critical deadlines
Ability to build and maintain effective working relationships with District administrators, employees, and representatives of public and private agencies
Comfortable operating office technology and providing training and work direction to clerical staff
Dependable, detail-oriented professional who thrives in a fast-paced executive environment
Preferred
Familiarity with Personnel Commission Rules, Board of Education Rules, and employment practices affecting certificated, classified, and unclassified personnel
