Responsibilities
Handle incoming calls professionally and direct them to the appropriate departments or individuals
Perform accurate data entry to maintain and update records and databases
Look up and ordering parts for HVAC related supplies
Organize, file, and retrieve documents to support smooth office operations
Coordinate schedules, appointments, and meetings to ensure efficiency
Provide administrative support to various teams, including preparing reports and correspondence
Monitor office supplies and place orders as needed to maintain inventory
Assist in maintaining a clean and organized workspace
Communicate effectively with team members to facilitate task completion
Respond promptly to inquiries and resolve minor issues to support daily operations
Qualification
Required
High school diploma or equivalent; additional certifications in administration are advantageous
Proficiency in data entry and familiarity with office software such as Microsoft Office
Strong communication skills, both verbal and written
Ability to multitask and prioritize tasks in a fast-paced environment
Detail-oriented approach and excellent customer service skills
Strong organizational skills with keen attention to detail
Self-motivated with little to no assistance
Preferred
Experience managing receptionist duties is a plus
