Senior Bookkeeper & Finance Operations Manage

Signs Ink Ltd is seeking a highly organized, detail-driven Senior Bookkeeper & Finance Operations Manager to oversee day-to-day accounting operations while building scalable financial processes. This role will be hands-on and oversee a direct report, focusing on creating structure and providing accurate financial insights to support leadership.

Responsibilities

Full-cycle bookkeeping (QuickBooks or similar)
Accounts Payable & Accounts Receivable
Invoice processing, collections tracking, and payment application
Bank, credit card, and loan reconciliations
Payroll processing coordination (including PLA or job-cost labor if applicable)
Sales tax tracking & filings (NY + multi-jurisdiction if applicable)
Month-end close and financial reporting
Job costing support for installs, fabrication, and large projects
Expense allocation across departments and jobs
Fixed assets & equipment tracking
Maintain clean, audit-ready financials
Create standardized procedures for AP/AR, invoicing, and expense reporting
Improve cash-flow visibility and forecasting
Work with ownership on budgeting and planning
Coordinate with CPA/bookkeeping firm for tax filings and year-end close
Identify inefficiencies and recommend operational improvements
Delegate routine tasks (data entry, invoicing, vendor setup, collections follow-up) of on-site Junior Bookkeeper / AP-AR Coordinator
Review and approve work for accuracy and consistency
Maintain internal controls and documentation

Required

Strong QuickBooks expertise

Confident communicator with owners and vendors
Comfortable in a hybrid, flexible environment

Preferred

Knowledge of construction, trades, manufacturing, or signage strongly preferred
Comfortable with job costing and project-based accounting
Experience supervising or mentoring junior staff is a plus
