HR & Payroll Coordinator
Irwin is seeking an HR and Payroll Coordinator who will be responsible for processing and maintaining accurate payroll records for hourly employees. The role also involves ensuring compliance with payroll, HR, and regulatory requirements while supporting positive employee relations and identifying opportunities for process improvements.

Responsibilities
Process weekly payroll for hourly employees, ensuring accurate hours, overtime calculations, tax deductions, direct deposits, and payroll closing
Audit and adjust departmental hours and pay rates to ensure accuracy
Manage employee status changes, including transfers, rate adjustments, time off, and layoff documentation
Set up and process garnishments, IRS levies, and Friend of the Court payments with timely disbursements
Prepare periodic reports on earnings, deductions, and tax filings as required
Process special payrolls (vacation, attendance, and wellness payouts, bonus, etc.)
Maintain accurate payroll and employee records, updating master files for wage-affecting changes and tracking temporary employee hours, utilization, and invoice reconciliation
Manage employee attendance and disciplinary point tracking
Ensure proper collection, verification, and filing of I-9 documentation
Handle HR-related checks, vouchers, and financial transactions
Record and maintain union employee performance reviews
Identify, recommend, and execute process improvements to enhance payroll and HR efficiency
Serve as the go-to resource for production employees regarding payroll and benefits related inquiries and employee relations concerns
Maintain confidential employee files, ensuring compliance with record-keeping best practices
Support new employee orientation/onboarding as needed, providing guidance on payroll, policies, and benefits
Serve as the primary point of contact for employees requesting Family and Medical Leave Act (FMLA) leave, ensuring a clear understanding of eligibility and required documentation
Provide employees with FMLA paperwork, track submission deadlines, and ensure compliance with federal, state, and company policies
Maintain accurate FMLA records, tracking leave balances, intermittent leave usage, and return-to-work dates
Process FMLA-related payroll adjustments, ensuring accurate tracking of paid and unpaid leave
Educate employees and managers on FMLA rights and responsibilities, ensuring a consistent and compliant leave process
Monitor compliance with ADA (Americans with Disabilities Act) considerations, working with HR leadership on accommodation requests if necessary
Qualification
Required
Highly proficient in payroll and HR systems (e.g., UKG or similar platforms)
Strong knowledge of Microsoft Office Suite, including Excel, Word, and database software
Familiarity with state and federal labor laws affecting payroll and employee records
Attention to detail: Ability to process high volumes of data accurately
Organizational skills: Capable of maintaining multiple records and deadlines simultaneously
Problem-solving ability: Able to resolve payroll discrepancies and employee concerns efficiently
Communication skills: Strong ability to present information clearly to employees and management
Confidentiality & discretion: Ability to handle sensitive employee data with the highest level of professionalism
Preferred
Associate's degree preferred, with 2 years+ related experience; or equivalent combination of education and experience
