Responsibilities

Manage all general office tasks, including ordering and stocking office supplies
Handle daily mail, including receiving and distributing checks for advisors
Maintain overall organization and functionality of the office
Ensure conference rooms are properly booked, set up, and maintained
Monitor office needs and proactively address issues as they arise
Act as a concierge-level point of contact for new candidates and new hires
Guide new hires through the onboarding process, ensuring all required steps are completed accurately and on time
Coordinate and set up training sessions for new hires
Provide ongoing support to ensure a smooth transition into the firm
Assist advisors with licensing requirements, renewals, and compliance-related documentation
Support scheduling and coordination of required licensing exams and continuing education (CE) courses
Track deadlines and ensure advisors remain current with licensing and CE requirements
Serve as the primary liaison with the building manager and property management
Communicate updates, maintenance needs, and building-related issues
Coordinate any office-related facility updates or changes
Work across all wings of the office, assisting wherever support is needed
Partner with leadership and advisors to support office initiatives
Own and execute daily non-negotiable tasks essential to office operations
