Responsibilities

Provide comprehensive administrative and coordination support, including complex calendar management, meeting scheduling, and domestic travel coordination
Serve as a primary point of contact for external stakeholders including government officials, universities, and research institutions; draft, edit, and route professional correspondence with accuracy and polish
Coordinate agendas, briefing materials, meeting minutes, and follow-up actions for internal and external engagements
Track and manage follow-ups, documentation, and timelines for public-private partnerships, MOUs, and research collaborations
Maintain a calendar of grant deadlines, regulatory engagements, site visits, and legislative activities
Coordinate logistics for external events such as legislative visits, academic workshops, roundtables, and facility tours
Support funding applications and agreements by liaising with legal, finance, and compliance teams
Maintain a detailed and confidential database of external partners, officials, and institutional contacts
Uphold strict confidentiality when handling sensitive corporate, legal, and government-related information
Provide high-level administrative support including complex scheduling, coordination of cross-functional meetings, and documentation management
Prepare and coordinate executive-level presentations, investor materials, market research summaries, and partner communications
Serve as a liaison across R&D, marketing, legal, finance, supply chain, and external partners to support strategic initiatives
Maintain dashboards, trackers, and operating rhythms for partnership discussions, pilot programs, and key milestones
Coordinate domestic and international travel logistics, trade show participation, and post-meeting follow-ups
Organize, archive, and manage NDAs, contracts, presentations, and confidential business materials
Support strategic initiatives by coordinating timelines, inputs, status updates, and communications across teams
Proactively anticipate needs, triage competing priorities, and enable leadership focus on high-impact work
Serve as the primary on-site administrative and operational contact for Duracell’s Science Square location
Manage day-to-day office operations including space coordination, meeting rooms, supplies, vendor interactions, and facilities requests as needed
Partner with HR, Finance, IT, Security, and Facilities to support onboarding, expense processing, vendor coordination, and internal processes for site-based activities
Support tracking site-related budgets, process expense reports, and support vendor engagements in accordance with company policies
Coordinate visitor logistics including guest access, site readiness, and hosting of external partners and government or academic visitors
Ensure the office environment reflects Duracell’s professional standards and supports productivity, collaboration, and executive-level engagements

Required

Bachelor's degree preferred; Associate's degree with relevant experience considered
Minimum of 5 years' experience providing executive-level administrative support in external affairs, business development, R&D, or corporate environments
Demonstrated experience interfacing with senior executives, government, academic, or industry partners
Exceptional written and verbal communication skills with strong attention to detail and executive polish
Proven ability to manage confidential information with discretion and sound judgment
Strong organizational skills with the ability to anticipate needs, manage competing priorities, and operate independently
Proficiency in Microsoft Office Suite and collaboration tools (SharePoint, Teams, Zoom)
Travel required up to 15%
