Intake & Billing Coordinator
Davidson & Seseri, LLC is a Chicago-based boutique law firm specializing in immigration and nationality law. They are seeking an Intake & Billing Coordinator to manage the client intake process, handle invoicing, and ensure client satisfaction throughout the billing procedures.

Responsibilities
Serves as main point-of-contact for potential clients from initial contact throughout retention process
Schedules calls and consultations with attorneys, ensures pre-consultation documents and payments complete, handles initial set-up of foreign national profile in case management database, and confirms outcome with attorneys’ post-consultation
Uses case management database to track reminders and send notifications to current and prior clients regarding upcoming eligibility for immigration benefits
Prepares retainers and invoices for new matters, tracking retention status and following up in accordance with firm protocols
Executes signed retainers and issues payment receipts upon client retention
Processes hourly invoices monthly, flagging any requiring attorney review, settling approved invoices, and sending monthly billing statements for matters billed hourly
Monitors client retainer funds, following up on replenishment with attorneys and clients as needed
Prepares ad hoc invoices, monitors and follows up on outstanding billing, and coordinates with Office Manager to track and follow up on missed installment payments
Qualification
Required
Friendly and professional demeanor, with demonstrated proficiency in customer service and/or sales and strong desire to learn
Excellent verbal and written communication skills
Experience in calendar management and handling large volumes of calls
Ability to work independently and within teams, manage time and workloads efficiently, and keep deadlines
Competency in Microsoft Office Suite
Consistent timeliness and task execution
Fluency in English and Spanish (spoken and written)
Interest in technology applied to the field of law
Preferred
Associate or bachelor's degree
Familiarity with case management databases (e.g., LawLogix), project management software (e.g., ClickUp), Microsoft Excel, and/or e-signing platforms (e.g. PandaDoc)
Prior experience in a law firm setting
Fluency in Russian (or other languages) a plus
