Responsibilities
Oversee invoicing and payment tracking using FreshBooks
Maintain and manage billing reports and financial trackers (advanced Excel required)
Coordinate closely with the Principal and external accountant
Draft, customize, and coordinate interior design service proposals
Manage proposal revisions, client follow-ups, and submission timelines
Maintain organized proposal records and status tracking
Manage onboarding and offboarding processes
Coordinate employee documentation, benefits (including health insurance), and internal requests
Maintain accurate personnel and studio records
Serve as a key operational point of contact for the studio
Coordinate with vendors, consultants, and service providers
Provide trusted administrative and operational support to the Principal
Identify opportunities to improve internal systems and workflows
Qualification
Required
5+ years of experience in office administration, operations, or studio management
Expert-level Excel proficiency (financial tracking, formulas, reporting)
Strong writing and document-management skills, particularly for proposals and client-facing materials
Experience with billing and accounting platforms
Highly organized, proactive, and detail-driven
Comfortable working independently and exercising sound judgment
Proficiency in Google Workspace
Preferred
Experience in design, architecture, or a creative professional environment strongly preferred
