Responsibilities
Client Interaction: Greet clients, answer phone calls, and respond to emails promptly. Provide detailed and accurate information to clients about services and procedures
Appointment Scheduling: Schedule, confirm, and rescheduling of appointments using our clinic's software system. Ensure that appointments are booked efficiently and accurately and accompanied with the necessary documentation
Payment Processing: Handle client billing and payment processes, including invoicing and payment collection
Customer Support: Address client concerns, complaints, and inquiries with empathy and professionalism. Act as a liaison between clients and veterinary staff to ensure smooth communication
Record Keeping: Maintain accurate client and pet records, including updating contact information and medical history in the clinic's database
Team Collaboration: Work closely with veterinarians, technicians, and other staff members to ensure client and pet needs are met in a timely and efficient manner
Qualification
Required
Knowledge of basic veterinary medicine is highly desired
Strong communication and interpersonal skills
Excellent phone etiquette
Ability to handle difficult situations with patience and professionalism
Strong organizational and multitasking skills
Attention to detail
Compassion for animals and their owners and a desire to provide only the best customer experience
Ability to sit or stand for extended periods
Occasional lifting of office supplies
Ability to work in a busy, fast-paced environment
Preferred
Previous experience in customer service and/or client communication is preferred
Familiarity with veterinary terminology is a plus but not required
