Responsibilities
Serve as the primary point of contact for all guest-related inquiries
Develop and execute communication plans including invitations, itineraries, confirmations, reminders, and post-event follow-ups
Ensure consistent and professional messaging across all channels
Collaborate with web developers or vendors to design and maintain a user-friendly registration website
Monitor registration progress and troubleshoot issues
Ensure data accuracy and timely reporting
Lead the design and implementation of a custom meeting app
Coordinate with developers and stakeholders to ensure the app meets event needs (agenda, maps, messaging, etc.)
Manage content updates and user support pre-event and onsite
Oversee flight arrangements for attendees in collaboration with the travel team
Ensure travel itineraries align with event schedules and guest preferences
Address travel-related issues and provide support as needed
Qualification
Required
Minimum of three (3) years of hospitality experience
Proven experience managing guest communications across multiple touchpoints, including invitations, itineraries, and post-event follow-ups
Strong ability to craft and maintain professional, consistent messaging across email, web, and app platforms
Experience overseeing or collaborating on Cvent registration website development, with a focus on user experience and data accuracy
Ability to monitor registration progress and troubleshoot technical or user issues effectively
Familiarity with event app development, including content management, stakeholder coordination, and onsite support
Strong project management skills with the ability to coordinate travel logistics, ensuring alignment with event schedules and guest preferences
Excellent communication and organizational skills, with a detail-oriented and proactive approach to problem-solving
Comfortable working in a fast-paced, client-facing environment with multiple stakeholders and tight deadlines
Endurance, stamina and physical ability to work long hours for extended days during activations
Persistent enthusiasm, energy and drive through the project both in the office and importantly, on the road
Valid driver's license and clean driving record required
Ability to lift up to 50 lbs. and stand for up to or more than eight hours at a time
Flexibility and willingness to travel domestically and work weekends or holidays as needed. Anticipated travel level: High (40-60%) during tournament (June-July)
