Assistant Office Manager

Responsibilities
Manage financial operations: Verify transactions, reconcile accounts, and ensure accuracy in QuickBooks
Process payments: Approve checks/ACH and maintain client auto-pay setups
Handle invoicing: Prepare and send client invoices and statements monthly
Support tax and compliance: Assist with annual tax filings, fixed asset reviews, and contract compliance
Payroll: Review bi-weekly payroll, process adjustments, bonuses, and benefits
Administer benefits: Coordinate open enrollment, renewals, and 401(k) contributions
Maintain employee records: Track certifications, licenses, and regulatory documentation
Manage office operations: Oversee supplies, events, and supervise administrative staff
Assist HR processes: Support hiring, onboarding, terminations, and PTO approvals
Coordinate training & communication: Schedule compliance training and update CRM/internal communications
Qualification
Required
Bachelor's degree in communications, business, or another similar field
Proven experience in office administration, accounting, or related field
Proficiency in QuickBooks and Microsoft Office Suite
Strong organizational, multitasking, and communication skills
High attention to detail and problem-solving abilities
Ability to maintain confidentiality and handle sensitive information
Preferred
Experience managing payroll, benefits, and employee records
Familiarity with insurance and tax documentation processes
