Responsibilities
Build strong, professional relationships with subcontractors, vendors, and customers
Communicate via phone and email to address questions, provide updates, and resolve issues
Schedule and coordinate preventative maintenance (PM) services, ensuring timely and accurate delivery across multiple customer accounts
Serve as a liaison between vendors and customers, negotiating PM service terms and maintaining clarity on inspection and testing requirements
Maintain accurate records of PM schedules, site details, and compliance information in internal and customer systems
Identify issues proactively and offer solutions to maintain uninterrupted inspection/testing schedules and ensure customer satisfaction
Track all open and closed work orders and update status notes in the work order system (Great Plains)
Provide detailed schedule updates, estimated completion dates, and close‑out information
Communicate status of work orders to affiliates and customers, following up regularly to ensure accurate and timely completion
Obtain inspection purchase orders from customers and dispatch inspection work orders accordingly
Monitor inspection completion progress on a weekly basis
Qualification
Required
Associate's degree or equivalent experience in customer service, vendor management, or related roles
Strong organizational skills with the ability to manage multiple priorities simultaneously
Strong written and verbal communication skills
Proficiency in Microsoft Office Suite (Excel, Outlook) and Adobe; experience with Microsoft Teams or Microsoft Dynamics Great Plains is a plus
Ability to work in a fast‑paced environment and interact professionally with customers, vendors, and internal teams
