Executive Assistant

Responsibilities

Manage complex calendars for multiple executives, including scheduling, rescheduling, and prioritizing meetings
Coordinate internal and external meetings, including securing conference rooms and managing invitations
Arrange travel (primarily domestic), including flights, accommodations, and itineraries
Oversee meeting logistics for company and team offsites, conferences, and special events; manage related budgets
Review and submit time entries and expense reports for assigned executives; approve travel and expenses as needed
Monitor and manage executive inboxes for priority communications
Prepare documents, presentations, and reports using Word, PowerPoint, and Excel
Handle confidential information with discretion and professionalism
Partner with office management team to support office operations as needed
Serve as a point of contact for external stakeholders, including government and military representatives
Maintain organized digital filing systems using OneDrive, SharePoint and other tools
Collaborate with other Executive Assistants to coordinate schedules and resources

Required

Proven experience as an Executive Assistant or similar role supporting senior leaders
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Experience with travel booking systems (e.g., Concur) and expense management
Strong organizational and multitasking skills with the ability to prioritize effectively
Demonstrable ability to communicate and build rapport with colleagues and external stakeholders at all levels of an organization
High degree of professionalism and confidentiality
Ability to work independently and make decisions without constant supervision
Associate's degree or equivalent work experience

Preferred

Familiarity with military hierarchy and protocol is a plus
