Client Services Coordinator

The Hofeller Company is seeking a Client Services Coordinator to provide general administrative and clerical support for all properties managed by the company. The role involves handling communication, organizing records, and assisting property managers in coordinating with clients and vendors.

Responsibilities

Opens and closes the office from 9AM to 5:00PM, Monday through Friday
Handles and redirects incoming phone calls and messages through the switch board system
Communicates with the Answering Service and keeps communication records
Greets clients, vendors, and coworkers in person and by phone in a respectful and professional way
Receives and distributes to the appropriate party documents, messages, payments, and items delivered to the office
Communicates in an effective and professional manner verbally and in writing to clients, residents, vendors, managers, maintenance workers, and coworkers using all kind of media including communications in person, by phone, e-mail, mail, etc
Uses good judgment to assess priority and urgency of client’s requests and acts accordingly
Communicates with maintenance personnel as needed in order to deliver messages or coordinate work
Acts as support for the Property Managers by coordinating vendors and unit owners/residents when required
Keeps organized records and files documents appropriately, both, in the physical and the electronic files
Prepares reports of handled projects by using the computer and knowledge of software programs like Microsoft Word, Excel, etc
Gathers and enters in the computer information sent by owners of newly acquired properties, data entry
Keeps Key Log to record and track in/out keys
Updates client and vendor information as needed in the computer system and physical lists
Keeps and /or creates updated lists of vendors, property lists and any useful informational lists, ensures that this information gets passed to the users in a timely and effective manner
Handles the process and prepares all documentation related to the Sale and Refinancing of the units as requested. This includes sending out the Welcome Package to new unit owners in a timely manner
Collects and passes to accounting payments related to the Sales and Refinancing process and the move-in and move-out fees
Ensures that the directories and mailboxes of all properties are up to date, and that any changes get executed promptly
Performs researches of documents and information as needed
Collaborates to promote a pleasant ambiance at the office

Required

High School diploma
zero to two years directly related experience
good verbal and written communication skills
