Operations and Program Administration Intern,
Sotheby's Institute of Art is a renowned institution offering pre-college programs in New York City, and they are seeking an Operations and Program Administration Intern to support the smooth delivery of these programs. The intern will gain hands-on experience in education operations, student services, and event organization while collaborating with various teams to ensure program success.

Responsibilities
Support all on-the-ground operational processes to ensure the smooth execution of programs
Collaborate with cross functional teams including Academics, IT, Finance, Marketing, Admissions, among others
Support the faculty and contractor (guest speaker) booking, contract and payment processes
Liaise with program Welcome Desk, the central communication center for the pre-college program, as well temporary administrative, academic and residential life staff
Assist in organizing program events including but not limited to Student Orientation, Parent engagement, student welcome soirees, Speaker Series and Closing Ceremony
Support the maintenance of the program project management platform, Monday.com to track faculty onboarding information
Actively participate in staff meetings, regularly scheduled program planning meetings, weekly one-on-one meetings with supervisor, and other meetings as assigned
Supporting other teams and programs as required
Administrative oversight for the following:
Site Visit Coordination : Liaise with the Academics/Operations team to track all logistics related to student site visits
Classroom & Program Support : Assist with the preparation and distribution of classroom materials, educational technology, and boxed lunches. Ensure that all materials are delivered accurately and on time
Guest Speaker Coordination : Manage the onboarding paperwork for guest speakers, ensuring all necessary forms are completed and submitted. Support guest speaker logistics, including setting up Zoom calls for virtual speakers, on-site guest speaker pickup and handling any related technological needs
Communication Management : Facilitate communication between staff, faculty, and external partners and vendors
Student Support : Serve as a point of contact for student requests and concerns, providing guidance or redirecting to the appropriate staff when necessary
Faculty Liaison Support : Assist with the coordination of faculty-related activities, including the preparation and deployment of materials for Faculty on the first day of academic programming and other faculty-related events
Safety & Compliance : Adhere to safety and discipline protocols, ensuring a safe environment for students both on campus and during off-site activities
Qualification
Required
Must be legally authorized to work in the United States
Bachelor's degree and current graduate student pursuing Arts Administration, Arts Management degree, or similar
At least 2 years of job experience in administrative roles, preferably in education or arts-focused settings (e.g., secondary education/university, or arts organizations/enterprise). Experience in a fast-paced, student-centered environment is a plus
Must be willing to obtain a CPR certification prior to the start of the program (a reimbursement will be provided)
Highly productive, able to work effectively and efficiently on a variety of projects simultaneously and autonomously
Demonstrated project management skills, especially working across diverse teams and corporate cultures
Excellent organizational and administrative skills with the ability to anticipate, improvise, and adapt for optimal resolutions: detail-oriented and proactive/self-starter
Outstanding interpersonal skills/highly collaborative: work well within a team environment to plan, implement, and troubleshoot; as well as maintain composure in stressful situations, make sound judgments, and work under deadline pressure
Proficient in Microsoft Office: Word, Excel, Outlook, and PowerPoint
Proficient in/willing to learn the following systems, amongst others: Monday.com, Airtable, DocuSign electronic signature management systems (or similar), Orah-Student Engagement/Management System, Pronto Communication App, Canvas Learning Management System
Demonstrate a high degree of professionalism, discretion and diplomacy in interpersonal relationships
Must be adaptable to unexpected challenges, situations, and ever-changing environments. Must be willing to be flexible and pivot when necessary
Support and embrace diversity and inclusiveness
Comply with regular weekday (Monday-Friday) attendance/availability during core business hours and be available to work on-site in New York City onsite/in-person for the duration of program until July 31
Be willing and available to work additional hours, as needed
Be willing and available to travel, as needed
Ability to sit, stand, walk, travel up and down stairs, crouch, stoop and reach
Ability to lift up to 25 lbs
Preferred
The ability to speak another language is a plus
