Tradeshow Coordinator
Apex Payment Solutions is a payment processing platform built by dentists for dentists. The Tradeshow Coordinator is responsible for planning, coordinating, and executing the company's presence at dental conferences and tradeshows, ensuring effective communication of Apex's mission and value proposition.

Responsibilities
Research and evaluate dental conferences and association events aligned with Apex’s strategic goals
Partner with our Marketing Projects Manager (MPM) to identify shows, secure booth spaces, and manage event registrations. (MPM will book the show and send out itinerary)
Coordinate tradeshow logistics, including:
Shipping booth materials and managing equipment
Planning promotional items in collaboration with MPM (MPM will place the orders)
Maintain inventory of event assets and ensure all materials reflect Apex’s brand identity
Travel to all scheduled tradeshows and dental conferences
Deliver clear and engaging 5-15 minute presentations that highlight Apex’s value proposition to dental professionals
Serve as a confident, polished brand ambassador for Apex’s dentist-driven mission
Engage with dentists, practice managers, and industry partners at the booth
Work exclusively with tradeshow-generated leads, ensuring consistent follow-up and alignment with Apex’s sales team
Develop strategies to increase lead quality, conversion, and overall tradeshow ROI
Coordinate pre-show, onsite, and post-show communication using the Whova app and internal tools
Conduct internal and external interviews as needed for planning, evaluation, or post-show reporting
Produce post-event performance summaries and recommendations to drive program improvements
Qualification
Required
Confident public speaker, able to present 5 -15 minute talks to audiences of varying sizes (100 - 2000+ attendees)
Strong communication and interpersonal skills, especially with dental professionals
Highly organized with the ability to manage multiple events simultaneously
Ability and willingness to travel frequently (4-5 shows per quarter)
Preferred
Experience in event coordination, marketing, or tradeshow management (dental or healthcare strongly preferred)
Familiarity with Whova or similar event platforms is beneficial
Sales and/or lead management experience is a plus
