Member Engagement Coordinator
The International Anesthesia Research Society supports the global anesthesia community through research funding, education, publications, and professional collaboration. As Member Engagement Coordinator, you will manage the membership database, track participation, and support recruitment and retention efforts while ensuring effective communication with members and volunteers.
Responsibilities
Support the recruitment of new members, the retention of current members, and strategies to re-engage lapsed members
Coordinate affiliate society membership discount processes annually; periodically review journal affiliate society websites to ensure IARS membership content is up to date; provide updated information or corrections to affiliate societies when necessary
Administer monthly hard copy membership renewal mailings
Manage join and renew membership activities, process lockbox membership payments, maintain and update member types, invoices and notices
Manage the general inquiries email; respond promptly and professionally to all emails
Track member participation in programs, events, and committees
Serve as the organizational point person for membership database protocols and best practices; ensure data integrity and troubleshoot issues
Provide the monthly member report for journal distribution to the publisher’s Society Manager by the due date. Work with the Society Manager to resolve A&A delivery and online access problems quickly
Generate regular and ad hoc membership and engagement reports. Support benchmarking efforts
Document membership management processes
Manage and update contact lists, including the international anesthesiology society list, anesthesiology department list, affiliate society contacts, and volunteer and committee lists
Support the Membership Committee and subcommittees, including meeting scheduling, preparing agendas and materials, taking minutes, and coordinating follow-up actions such as project goals, deliverables, and timelines. Ensure progress is documented and communicated as needed
Maintain and update the Volunteer Orientation packet and distribute it to all new committee members
Assist with the annual Call for Volunteers process, including communications, tracking, and selection
Work with the Director to write, proofread, and distribute communications and promotional materials, such as member onboarding and welcome messages, drip and email campaigns, multiple newsletters, member surveys, renewal notices, and other outreach covering a wide range of Society activities
Assist with MailChimp program promotional eblasts and social media channel scheduling
Review website content at least monthly for accuracy and relevance and ensure membership content is current. Recommend updates as needed to the Director
Qualification
Required
A bachelor's degree and 3 + years of relevant experience in a membership, marketing, or administrative role, with direct responsibility for member-facing support, committee coordination, or communications; exposure to mission-driven or internationally oriented work preferred; medical society experience a plus
Strong data and systems skills, including hands-on experience managing records in a CRM or association management system, maintaining data hygiene, and producing accurate, repeatable reports to support membership and committee needs
Advanced proficiency in Microsoft Word (including mail merge), PowerPoint, and Excel, including pivot tables and lookups (VLOOKUP/XLOOKUP), with the ability to analyze data and translate it into usable insights for internal teams and leadership
Highly organized and self-directed, able to manage time independently, proactively seek out information, and balance multiple, sometimes competing priorities in a remote environment
Clear and professional written and verbal communication skills, including hands-on experience with an email marketing platform, and a service-oriented approach to regular interaction with members, volunteers, and committee leaders; multilingual ability a plus
