Administrative Assistant /Assistant Community (Property) Manager
Confidential is seeking a highly motivated and organized individual to join their team as an Assistant Community (Property) Manager. This role involves assisting with day-to-day front office duties and supporting community managers in HOA community management tasks.

Responsibilities
Open the office each morning at 9am
Field all incoming calls and emails and assist as needed or forward to the appropriate party
Ensures all office supplies are ordered and stocked as needed
Distributes incoming and outgoing mail
Assist homeowners/residents when visiting our office. Provide keys, parking passes, gate openers, and documents
Assist in the escrow process
Perform data entry
In conjunction with the Community Manager, assists in preparing homeowner correspondence, meeting notices, newsletters, violation letters, board reports, budgets, audits, financial reports, check runs, collection process, notices, and reports
In conjunction with the Community Manager, coordinates Board and committee meetings, zoom meetings, blast email notices, walkthroughs, and vendor meetings
Maintains all residents and vendor files, ensuring completeness and accuracy of all paperwork and documentation
Prepares and submits work orders, service requests and bid requests with follow up
Performs other duties as assigned. Actual job duties and responsibilities may vary depending on an individual community needs
In conjunction with the community manager, attend Board meetings and onsite meetings as needed
Handle on-call duties, as directed by supervisor
Qualification
Required
Effective oral and written communication skills; ability to give clear direction and respond to inquiries. Must be able to speak effectively before groups of customers or associates
Understanding of accounting principles and budget process. Ability to read and interpret numerical information. Basic understanding of the budgeting process
Customer service experience required in at least one of the following industries: property management, hospitality, and real estate
Negotiate and resolve conflicts
Proficient with Microsoft Office products (Word/Excel/Outlook) and Enumerate accounting software preferred but will train
High School Diploma or equivalent
Ability to commute to San Clemente, CA
Preferred
Some college level courses preferred
Minimum of 2 years property management experience preferred
Customer service: 1 year (Preferred)
