Administrative Assistant
The Eli and Edythe Broad Foundation envisions a sustainable, equitable economy serving the public good. They are seeking a creative and dynamic Administrative Assistant to support their Chief Strategy Officer and Vice President of Programs by managing calendars, coordinating information flow, and overseeing meeting logistics.
Responsibilities
Organize complex calendars for two leaders, thoughtfully sequencing meetings/calls/briefings and proactively identifying/resolving scheduling issues
Manage correspondence and information flow, ensuring the right stakeholders have the right information in a clear and timely manner
Ensure easy, clear access to necessary information and preparation for internal and external meetings; conduct research and/or gather and analyze inputs from relevant team members
Conduct initial background research on potential grantees as needed to support program team with due diligence
Support the program team operations by ensuring key milestones and projects are executed on time
Proactively compose and edit mail, email and other correspondence and phone calls and manage information flow and dissemination within program team and with other teams
Review, assess, route, answer and monitor follow-up action steps in coordination with other team members to move priorities forward
Support in the preparation for the bi-annual Board of Trustees meetings; work closely with Special Projects Manager on information flow and written meeting materials
Develop, implement and administer departmental office systems and procedures
Plan and execute all details of hosted meetings including ordering and managing catering and other vendors, conference room set up and clean up, guest parking validation and other details to ensure a friendly and sophisticated experience
Provide additional administrative support including guest arrivals, expense reports, travel coordination, filing, copying, mailing as required for CSO and VP
Complete other ad hoc and special projects as assigned
Contribute collegially to the overall functioning of TBF, as needed
Qualification
Required
A strong desire to contribute to the vision, mission, and values of The Broad Foundation; a high level of ethics, integrity and accountability, with an ability to use discretion and uphold confidentiality
2+ years of related experience required
Excellent time management skills; proven ability to meet deadlines
Ability to function well in a high-paced environment; performs additional duties as assigned by manager
Strong analytical and organizational skills with high attention to detail
A personal style that is warm and approachable. They are confident, yet self-aware, humble and embody a culture of kindness, respect and openness
Advanced Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint and Teams)
