Admin Assistant
Ultimate Staffing is seeking a reliable, detail-oriented General Office Assistant to support daily administrative and operational tasks. This role is essential in maintaining smooth office operations, managing customer and vendor communication, and providing accurate data entry and reporting.
Responsibilities
Create and process RMA (Return Merchandise Authorization) requests for customers
Communicate with vendors to collect tracking numbers, shipment details, and status updates
Provide customer updates regarding returns, replacements, and order status
Enter and maintain Sales Orders accurately in the system
Generate and process Purchase Orders for vendors as needed
Assist with order confirmations, delivery dates, and inventory coordination
Perform daily data input, recordkeeping, and document management
Prepare reports, spreadsheets, and summaries as requested by management
Maintain organized digital and physical filing systems
Support reception duties, phone calls, and general administrative needs
Assist with office supply ordering and basic facility coordination
Qualification
Required
Strong data entry accuracy and attention to detail
Proficiency with Microsoft Office (Excel, Word, Outlook)
Strong communication skills for interacting with customers and vendors
Ability to multitask and manage shifting priorities
Preferred
Previous office or administrative experience preferred
Experience with order entry, purchasing, or inventory systems is a plus
