Finance and Operations Manager
Ntropic is a content studio dedicated to the art and craft of strategic visual communications and creative technology. The Finance & Operations Manager is responsible for the company’s day-to-day financial management and core business operations, ensuring accurate financial reporting and supporting business operations.
Responsibilities
Perform day-to-day transaction recording, including AP, AR, cash receipts, bank/credit card reconciliation, and payroll processing support
Maintain the general ledger, record journal entries, and perform month-end and year-end close
Ensure accurate revenue and expense recognition, including project/job costing
Prepare financial statements (P&L, Balance Sheet, cash flow) and management reports
Monitor cash flow and maintain rolling forecasts
Support budgeting, financial planning, and profitability analysis
Prepare audit schedules and manage relationships with external accountants and auditors
Handle tax filings (payroll, 1099s, W-2s, business and city taxes) and compliance
Maintain and optimize QuickBooks, Excel, Bill.com, Fyle, and internal management systems(NIM)
Implement controls and workflows to ensure data accuracy, auditability, and efficiency
Maintain financial records, documentation, and compliance with GAAP and regulatory requirements
Act as the primary financial and operational contact for vendors, banks, and staff
Manage vendor contracts, insurance policies, renewals, and compliance tracking
Oversee expense reporting, reimbursements, credit card policies, and approvals
Track key deadlines, licenses, filings, and operational deliverables
Support HR and payroll administration as needed
Provide responsive, clear communication across departments and with external partners
Qualification
Required
Bachelor's degree in Accounting or Finance (CPA or Master's a plus)
5–10 years of experience in accounting, finance, or operations
Experience in creative, agency, production, or project-based businesses is a plus
Strong proficiency in QuickBooks and Excel
Solid knowledge of US GAAP, month-end close, and financial reporting
Experience with budgeting, forecasting, audits, and tax compliance
Highly organized, detail-oriented, and deadline-driven
Strong communication and relationship-building skills
Tech-savvy and process-oriented, with a continuous-improvement mindset

Prior experience supervising or managing vendors or staff
