Finance Secretary
Carrollton First Methodist Church is seeking a Financial Secretary to oversee the church’s financial administration. The role involves managing contributions, financial record-keeping, payroll, and ensuring compliance with financial policies and regulations.

Responsibilities
Receive, count, and record weekly contributions, including stock or bonds
Maintain confidential records of individual contributions for all donors. Provide a weekly contribution report to the treasurer and finance committee chairperson
Issue quarterly and annual giving statements
Ensure secure handling and confidentiality of all contributions
Enter financial data into the church’s accounting or contribution-tracking software
Prepare weekly, monthly, and annual financial reports for the pastor, treasurer, and finance committee
Reconcile contribution records with bank deposits
Make weekly bank deposits in a timely basis
Maintain and record church expenses through accounts payable, payroll, and general journal entries
Issue checks for expenses twice each month
Reconcile credit card expenses with the corresponding budget account number
Maintain a current employee list with accurate wages and stipends
Prepare and issue payroll twice a month, ensuring all state and federal deductions are withheld
Pay federal and state withholdings accurately and on a timely basis
Prepare all annual payroll reports
Complete the annual workers’ compensation audit report
Follow established financial policies and internal controls
Review monthly bank statements and submit to the treasurer for reconciliation
Work with the treasurer or finance team to support audits or financial reviews
Ensure compliance with IRS/CRA donation receipt requirements (or applicable local laws)
Collaborate with the church treasurer and finance committee
Provide timely information for budget planning and stewardship campaigns
Work with the stewardship committee to plan the annual campaign
Communicate with donors about giving statements or corrections when needed
Attend finance committee meetings as requested
Qualification
Required
Associate's or bachelor's degree in accounting, finance, business administration, or related field
Experience in bookkeeping, payroll processing, or church/nonprofit financial administration
Familiarity with fund accounting principles and donor-restricted giving
Experience using church management software and accounting platforms
Ability to prepare, analyze, and reconcile financial reports
Knowledge of payroll systems, tax withholdings, and year-end reporting (W-2s, 1099s)
