Project Accountant
ZBeta, Inc. is a world-class physical security design and consulting firm. They are seeking a Project Accountant to manage the Finance and Accounting function, ensuring efficient operations in accounts payable, billing, and vendor compliance while collaborating with project teams to support financial health.
Responsibilities
Work closely with the Accounting Manager to serve as the day-to-day finance partner to the Project Management Team, and support PM Financial Review meetings
Progressively assume ownership of an assigned portfolio of PMs/projects within a Client Program as relationships and business context develop
Set up and maintain project records and billing configurations in the finance software
Collaborate with the Vice President of Finance on contract abstraction and billing term interpretation to ensure accurate billing and compliance
Coordinate with insurance carriers to obtain Certificates of Insurance and other compliance documentation required by project contracts
Own the full AP cycle (low volume): vendor onboarding/compliance documentation, invoice intake, coding, approvals workflow, and preparation of payment runs
Ensure timely and accurate recording of all expenses and payments
Process all employee expense reports in accordance with company policy
Ensure correct coding of direct and indirect expenses
Prepare monthly client billing in accordance with client-specific requirements
Ensure compliance with timecard submissions to facilitate the billing process; follow up on missing entries as needed
Ensure all invoices are accurate and submitted timely to the client
Monitor AR aging and support collections and dispute resolution by tracking open items, gathering documentation, and coordinating next steps with PMs and client contacts
Monitor unbilled WIP and billing backlog; investigate aging items, confirm billing readiness, and drive timely invoicing or documented resolution (e.g., dispute/hold, scope clarification, change order)
Follow and reinforce internal controls and documented processes; escalate exceptions, risks, or potential compliance issues early
Maintain confidentiality and professionalism in handling sensitive client, contract, and financial information
Build strong working relationships across PM teams by being responsive, clear, and solutions-oriented while maintaining data discipline
Qualification
Required
5+ years of accounting experience, including project billing/AR in a project-based services or construction-adjacent environment; demonstrated experience partnering with operations/PM stakeholders
Associate's degree or equivalent work experience
Proficiency in the use of Microsoft Office applications, including Word, Excel, PowerPoint, and Teams
Strong understanding of billing, AR/AP, and financial reporting
Excellent written, oral, and interpersonal skills, with proven experience communicating with team members and key stakeholders
Ability to handle and maintain sensitive and confidential information
Exceptional attention to detail and highly organized, with the ability to prioritize and balance workloads
Strong customer service orientation, a team player with the ability to establish collaborative working relationships across all levels of the organization
Self-directed problem solver who takes the initiative to start projects, work unsupervised, complete tasks independently, solve roadblocks, and address issues before they become problems
Preferred
Physical Security, Engineering, Architecture, and/or Construction accounting experience
Job cost accounting, including tracking costs by project and understanding the nuances of direct and indirect costs
Proficiency in Deltek Vantagepoint
Familiarity with percentage-of-completion and time and expense/NTE billing methods
