Executive Assistant to Principal Designer (Full-Time, Salaried)

This role involves supporting the Principal Designer by managing complex calendars, anticipating needs, and ensuring smooth operations across business and creative priorities.

Responsibilities
Serve as the strategic right hand to the Principal Designer
Anticipate needs, manage time, and protect focus
Master complex executive and personal calendars
Proactively plan schedules, appointments, travel, and deadlines
Think several steps ahead to prevent conflicts and inefficiencies
Communicate directly with clients, vendors, and internal team members
Organize and maintain project files and digital systems
Ensure smooth, uninterrupted day-to-day operations
Operate with ownership, precision, and pace
Anticipate the Principal Designer’s needs and manage daily, weekly, and long-term priorities
Own and manage a complex executive and personal calendar
Coordinate all scheduling and logistics with discretion and efficiency
Serve as a primary point of communication with clients, vendors, and external partners
Support project logistics, procurement coordination, and internal workflows
Organize and maintain project files, digital assets, and operational systems
Ensure seamless day-to-day operations supporting executive decision-making
Identify and resolve potential conflicts or risks before escalation
Prepare and manage documents, expense reporting, and administrative systems
Maintain operational efficiency using Google Workspace, Apple OS, Airtable, Todoist, and Canva
Represent the firm professionally during site visits, installations, and meetings
Travel as required for projects and business obligations
Qualification
Required
Bachelor's degree required
5+ years of experience as an Executive Assistant supporting a senior executive, founder, or principal
Advanced proficiency with Google Workspace and Apple/Mac OS
Demonstrated experience with Airtable, Todoist, and Canva (or equivalent tools)
Exceptional organizational and time-management skills
Clear, concise, and highly professional written and verbal communication
Strong judgment, discretion, and emotional intelligence
Ability to operate confidently in a fast-paced, high-expectation environment
Proactive, detail-driven, and solutions-oriented approach
Willingness and ability to travel
