Education & Operations Coordinator

RiverArts is an organization that presents multi-disciplinary arts experiences and educational opportunities in lower Westchester County. They are seeking a part-time Education & Operations Coordinator responsible for the administration of educational offerings, serving over 350 students a year and ensuring smooth operations of programs.

Non-profit Organization Management

Responsibilities

Develop and ensure accuracy of registration forms for all RiverArts events
Match families with teachers and communicate all education program information including scholarship and registration deadlines, lesson locations, holiday/weather/emergency schedules
Work with partner facilities to schedule rooms and lesson times for each instructor
Accurately track registration progress for all education programs and workshops
Develop & analyze reports on programs as requested
With the Executive Director, create and collect audience survey data
Work with bookkeeper to produce invoices and ensure invoices are paid in full prior to students joining sessions
Oversee completion and accuracy of instructor timesheets and submit them to bookkeeper at end of every month
Submit invoices to bookkeeper for facility, instructor, and equipment payments as assigned
Support the SummerArts camp director on administrative tasks including equipment orders, payroll, staff timesheets, and other tasks as assigned by the Executive Director
With the Executive Director, review scholarship applications and assign award amounts to qualified families
Coordinate logistics for and act as onsite manager for 2-3 music program recitals at the end of each semester, based on enrollment (Dec/Jan, and May/June)
Coordinate models, venue, and volunteers for once-monthly figure drawing workshops
With the Executive Director, coordinate the Student Art Awards and Music Scholarship Awards with local schools, including drafting award letters, amounts, and production needs for the annual Student Art Award Exhibition
With the Executive Director, plan and support additional workshops and programs
Coordinate updates to program pages and email content with Marketing Associate
Serve as a backup for the Event Production Manager as assigned by the Executive Director
Other duties may be assigned as necessary

Required

1+ years of experience in arts, music, or education administration
Strong attention to detail; Excellent organizational and project management skills
Working knowledge of Microsoft Office including Sharepoint, Word, Excel, and Outlook
Working knowledge and/or ability to learn complex database programs (RiverArts uses Little Green Light)
Ability to work 20 hours per week at an agreed-upon schedule between the hours of 9am-6pm, Monday-Friday plus additional hours for special projects and/or evening/weekend events on an as-needed basis, especially in the months of January, June, and August–October
Professional and responsible demeanor
Clear and effective writer and communicator without the use of AI technology

Preferred

Associate's degree or higher preferred
Familiarity with lower Westchester County events and programs

Benefits

40 hours (2 weeks) of annual paid time off, plus 11 holidays.
RiverArts currently offers a hybrid working environment; staff primarily work from home but must be able to report onsite for events and meetings as directed.
