Executive Assistant to the President and Chief Executive Officer

Responsibilities

Provide executive-level administrative support to the President and Chief Executive Officer
Manage a dynamic internal and external calendar, including correspondence and meeting materials
Ensure seamless execution of Bi-State’s Board of Directors’ communication and meetings, to include determining the venue, creating agendas, Board packets, presentations, meeting minutes with precision, and retaining records
Draft correspondence, conduct research, prepare reports, and presentations
Manage travel arrangements and expense reporting
Serve as liaison to employees, members, partners, and elected officials
Complete special projects, manage events, and organizational initiatives

Required

Provide executive-level administrative support to the President and Chief Executive Officer
Manage a dynamic internal and external calendar, including correspondence and meeting materials
Ensure seamless execution of Bi-State's Board of Directors' communication and meetings, to include determining the venue, creating agendas, Board packets, presentations, meeting minutes with precision, and retaining records
Draft correspondence, conduct research, prepare reports, and presentations
Manage travel arrangements and expense reporting
Serve as liaison to employees, members, partners, and elected officials
Complete special projects, manage events, and organizational initiatives
Three to five (3 to 5) years of relevant experience supporting executive leadership
Strong communication, organizational, and technology skills (Microsoft O365)
Ability to maintain confidentiality and manage multiple priorities
Time Management and Project Management skills

Preferred

Associate or bachelor's degree preferred
Nonprofit experience preferred
