Senior Executive Assistant

Responsibilities

Manage the complex and ever-changing calendar of the Chief Legal Officer including prioritization of meetings, resolving conflicts, and ensuring preparation for all engagements
Serve as a primary liaison for the CLO’s office handling confidential communications with senior leaders, board members and members of the Legal department
Work with CEO’s Office to coordinate board meeting logistics, including scheduling, agenda development, material preparation and distribution, travel and accommodations for board members as needed
Ensure timely follow-up on board and executive action items, partnering with key business leaders to support execution
Work closely with the CEO Office to support board communications, reporting, and governance-related documentation
Organize and manage executive-level legal leadership meetings and events, ensuring every detail is executed with precision including AV setup, catering, attendee coordination, and prep materials
Support domestic and international travel planning for the CLO ensuring all compliance, documentation, and scheduling requirements are met
Create and manage expense reports, invoices, and purchase orders with a high level of accuracy and timeliness
Maintain a well-organized digital and physical document management system in compliance with corporate standards
Support special projects, executive initiatives, and cross-functional activities on behalf of the CLO’s office
Be available for critical tasks and communications that may occur outside of regular business hours

Required

Proven experience supporting C-level leaders; experience with board administration and Legal department required
Proficiency in Microsoft Office Suite and video conferencing platforms; ability to quickly adopt new tools and systems
Ownership of Document and Information Management including creating/editing reports, memos, and presentations (Word, Excel, PowerPoint) and running document changes and version control
Proficiency with standard CLM and entity management tools and systems
Ability to anticipate needs, think critically, and offer solutions to problems with a high degree of professionalism
Strong organizational, planning, and project management capabilities
Excellent written and verbal communication skills with attention to tone, professionalism, and detail
High degree of discretion and integrity in handling sensitive and confidential matters
A collaborative mindset and cultural sensitivity to interact effectively across global teams and time zones
Flexibility to support an executive who travels frequently and operates across international business hours
Ability to work on site in Troy, MI
Must be legally able to work in the United States without requirement of any type of visa sponsorship or transfer now, or at any time in the future
