Office Lead Receptionist

The Office Lead is responsible for assisting in day-to-day operations, supervising staff, and enhancing patient satisfaction while ensuring regulatory compliance and operational efficiency.

Responsibilities

Manage and coordinate the day-to-day administrative and operational activities of the practice to ensure seamless workflow and high-quality patient care
Ensure strict adherence to healthcare regulations—including HIPAA, OSHA, and other relevant industry standards—and proactively manage risks to protect patients, staff, and the organization
Facilitate effective communication and daily office huddles to enhance collaboration among clinical, administrative, and leadership teams and to align on operational goals/maintain a unified practice environment
Assist in oversight of administrative and clinical staff while fostering a positive work culture that encourages continuous learning and professional development
Conduct regular performance evaluations, set clear objectives, and provide targeted coaching to maximize team productivity. Oversee scheduling to ensure optimal alignment of staffing with patient care needs
Act as the central liaison between clinical and administrative teams, facilitating robust communication and collaboration to ensure seamless operations and aligned objectives
Implement comprehensive strategies to enhance overall patient satisfaction and experience
Manage patient complaints proactively by establishing and executing effective service recovery protocols to resolve issues promptly
Ensure a friendly, efficient, and supportive front office environment that contributes to a positive patient experience

Required

Experience in managing and coordinating administrative and operational activities in a healthcare setting
Knowledge of healthcare regulations including HIPAA and OSHA

Experience in staff management and leadership
Ability to conduct performance evaluations and provide coaching
Experience in implementing patient satisfaction initiatives
Ability to manage patient complaints and service recovery protocols
Skills to create a welcoming and supportive front office environment
