Administrative Assistant

Responsibilities

Manages the day-to-day clerical, general fiscal and administrative functions
Budget: Prepares, submits, summarizes, and communicates budget information. Financial manager for all funds including state, MURC, Foundation and faculty startups. Responsible for purchasing cards and fulfills purchasing requirements for all teaching and research purposes, which requires knowledge of WV state and Marshall University Research Corporation (MURC) policies
Personnel: Supports employment administration and human resources processes, serving as a point of contact with the central HR department. Time and Attendance Manager. Post open GA positions in PeopleAdmin. Prepares and approves online payroll certifications. Reviews and reconciles payroll registers, and updates pay distribution. Serves as the local point of contact on payroll issues. Prepare PARs for all open positions, manage and process payroll for faculty, hourly employees, on and off-campus adjuncts, grad assistants, and others. Manages and audits leave
Travel: Arranges and coordinates travel for department staff, faculty, students, and incoming guests and speakers
Academic: Participate in preparing teaching schedules, and coordinates room assignments. Enter courses, teaching assignments, and room assignments into Banner
Graduate Admissions: Member of graduate admissions/graduate assistant committee for MA/MS students. Contact person for Graduate Admissions Office and prospective students
Performs other duties as assigned, to support the mission and function of the department

Required

Associates Degree or Vocational School
1-2 years of experience in a professional administrative clerical position
Excellent written and oral skills

Demonstration of professionalism, initiative, and good judgement

Preferred

Bachelor's degree
