Records Technician
City of Aurora is looking for dedicated and collaborative individuals to join their team as Records Technicians. The role involves collecting, processing, storing, and disseminating criminal information and reports to law enforcement personnel, courts, and the public, ensuring efficiency and strong customer service.

Responsibilities
Tracks, distribute files and scan documents
Completes and transcribes a variety of reports
Routes information internally for follow up
Data entry and ensures the protection of confidential data
Maintains complex record keeping and reporting systems; enters, modifies, and updates multiple data bases in local, State and National computer systems
Works extensively with Law Enforcement personnel both internally and from other jurisdictions; communications both verbal and electronic
Refers calls for police service to dispatch when an officer is required
Interviews with crime victims and reviews information on police reports
Enters and retrieves information via computer aided dispatch (CAD) terminal
Enters and retrieves information in law enforcement database systems
Maintains accurate criminal history and warrant information
Advises citizens of procedures and laws
Basic knowledge of laws governing Colorado Criminal Justice Records Act and other applicable laws for processing requests for criminal justice records
Troubleshoots, researches, and solves digital evidence/media questions/issues
Prepares and distributes digital evidence/media to applicable District and City Attorney’s for Discovery; follows record dissemination laws, policies, and procedures
Prepares digital evidence/media for release on simple cases not requiring in depth legal review
Operates a variety of office machines
Coordinate and schedule City employees (primarily sworn officers) availability to respond to Court subpoenas resulting from criminal proceedings
Coordinates and monitors officer's court appearances
Collection, logging and dissemination of subpoenas received by department members
Performs additional duties as assigned
Qualification
Required
High School Diploma or GED
One (1) year of general office or clerical experience including data entry and customer service experience
CCIC/NCIC certification preferred but required within 6 months of employment
Knowledge of office practices and procedures; business English
Manual and computer filing and records management systems and databases
Complex record keeping systems; Word, Windows
Ability to establish and maintain effective working relationships with employees and citizens
Handle stressful situations with tact and diplomacy
Communicate effectively both orally and in writing
Perform complex data entry activities, attention to detail
Work any shift (Days, Nights, Weekends) including holidays
Ability to give and receive constructive feedback
Skill in passing a CritiCall Exam, that measures skills in 10 different competencies which include: Data entry, sentence clarity, and multi-tasking
Sedentary physical work that involves moving no more than 10 pounds at a time
Frequent lifting, carrying, walking, and standing
Hand/eye coordination to operate computer keyboard
Vision to read and interpret reports, documents, and other written information
Frequent speech communication and hearing to maintain communication with employees and citizens
Memory to retain updated processes, complete tasks that are important but infrequent and highly technical tasks
Critical thinking to navigate technical tasks; use resources when unsure and Lead or Supervisor is not available
Judgment to ensure confidential information remains protected
Essential duties performed primarily on-site in clean, comfortable environment with some shared workstations and equipment
Shift work to include days, nights, working weekends and holidays
Preferred
CCIC/NCIC certification preferred but required within 6 months of employment
Colorado Certified Records Network (CCRN) Master Certification preferred but not required
Two (2) years office, clerical, and/or legal experience to include data entry and customer service
Experience working in a judicial or law enforcement environment
