Responsibilities
Independently manage and prioritize complex calendars for two senior executives, ensuring schedule optimization and efficient workflow
Proactively anticipate meeting needs, prepare meeting briefs, and ensure executives are prepared for all engagements
Track follow-ups, manage internal and external communications, and ensure timely responses
Coordinate domestic and international travel logistics and create detailed itineraries
Prepare, submit, and reconcile expense reports accurately and on time
Draft agendas, pre-read materials, and assist with presentation creation
Handle meeting logistics including room booking, technology setup, visitor coordination, and materials distribution
Document key action items and support follow-up across cross-functional teams
Serve as a point of contact for internal and external stakeholders with professionalism and discretion
Maintain team documents and reference materials; Notion and Google Workspace experience preferred
Support onboarding for new hires and contribute to departmental initiatives and events
Qualification
Required
5+ years of administrative support experience, preferably supporting senior leaders in a dynamic, high-growth environment
Proven ability to manage multiple priorities independently with strong organizational and time management skills
Excellent written and verbal communication skills; represents executives with clarity and professionalism
High discretion in handling sensitive and confidential information
Proficient in Google Workspace, ChatGPT, Slack, Zoom, and other collaboration tools
Comfortable with fast-paced environments and shifting priorities
Ability to work regularly onsite in the NYC office
Preferred
Bachelor's degree preferred
