Administrative Assistant – Communications
Oregon State Bar is an organization that regulates the practice of law in Oregon and provides various services to its licensees and the public. They are seeking an Administrative Assistant for the Communications Department to provide administrative and accounting support, manage communications budget, and assist with project management and events.

Responsibilities
Serves as administrative assistant to the Director of Communications. Acts as a key resource for programs and projects in this area, including but not limited to coordinating meetings and calendars; maintaining communications budget and invoicing in conjunction with accounting department, completing check requests and monitoring department expenses
Responsible for a broad scope of tasks related to the preparation, organization and dissemination of correspondence, documents, spreadsheets, reports and recordkeeping in support of OSB communications
Maintains a variety of project management tools for the department, and supports staff in tracking progress on long-term projects
Supports the work of bar groups, including organizational support, preparation and distribution of agenda materials; file maintenance, data management and preparation of reports
Coordinates with the Accounting Department to bill for classified advertisements and lawyer announcements for the bar’s magazine, the Oregon State Bar Bulletin. Handles cash receipts and produces billing and revenue reports
Coordinates classified advertising and lawyer announcements for the Bulletin. Processes customer requests and edits ad copy according to Bulletin guidelines. Responds to advertiser and member inquiries about billing, errors, or other advertising matters. Coordinates the magazine’s distribution, including maintaining the mailing lists and working with USPS to maintain our account
Cross-trains and works closely with the Public Affairs Administrative Assistant to provide backup and additional departmental support as needed
Purchases volunteer recognition materials and office supplies for the department
Assists staff with travel coordination and expense reimbursement
Provides support to the Director of Communications and other department staff by composing and typing a wide variety of reports and documents, filing, and other clerical tasks
Assists with special events on and off site as assigned
Other duties as assigned
Qualification
Required
High school diploma or equivalent certificate supplemented with classes and/or workshops in administrative assistance related training
Three years of progressively responsible administrative experience in a professional office environment
Experience with office record-keeping and reporting systems, financial record-keeping systems, and administrative organization methods
Experience with the Microsoft Office Suite in a Microsoft Windows environment with particular emphasis on Word, Excel, and Outlook
Database management skills to include data manipulation
Experience with project management applications of these software systems, including but not limited to the Microsoft suite
Ability to type 60 WPM with accuracy
Excellent written and oral communication skills
Excellent organizational, administrative, interpersonal and conflict management skills
Ability to exercise professional demeanor and a high level of customer service for a potentially demanding customer base in a variety of situations
Ability to exercise sound judgment in keeping with the policies and objectives of the Communications Department and the Oregon State Bar
Ability to multitask, prioritize and meet deadlines in a detail-oriented, fast-paced environment
Commitment to the concept of teamwork and cross-responsibility within a department
Ability to communicate in person, in writing, by e-mail, and by telephone
Ability to operate a computer for long periods of time
Ability to remain in a stationary position for long periods of time
Ability to manipulate data for program purposes and typing
Ability to use standard office equipment and computer peripherals
Ability to perform detailed work requiring concentrated effort
Ability to position self for purposes of filing
Ability to lift up to 35 pounds
Ability to use appropriate transfer equipment to transport department equipment and supplies
Ability to work in a moderately noisy, open environment

Some college work preferred
