Administrative Manager

Responsibilities

Serve as the primary contact for all admissions inquiries (phone, walk-ins, and referrals), providing tours and guiding prospective residents and families through the admissions process
Maintain personnel records and documentation standards called for by Title 22, Title 17, and Company policies
Complete all admission documentation and coordinate closely with the Intake Team, caseworkers, and other referral sources to ensure smooth transitions
Monitor the visual security system and audio security doors for the elopement of residents
Oversee all business office functions, including billing, accounts payable/receivable, payroll, petty cash, and patient funds
Prepare and send monthly billing statements, monitor payments, and initiate collections on outstanding balances
Maintain accurate records for Medicaid, Medicare, private pay, and third-party payer sources; collaborate with case workers for updates to resident status
Maintain up-to-date census data and ensure regulatory documentation is accurate and compliant
Provide general administrative support, manage incoming calls, visitor reception, mail distribution, office supplies, and equipment maintenance
Partner with HR on onboarding, payroll, recordkeeping, and policy implementation
Manage vendor relationships, approve invoices, and ensure the timely handling of facility expenses
Respond professionally to resident and family inquiries or complaints, documenting appropriately and resolving issues in a timely manner
Maintain filing systems, support internal audits, and ensure the confidentiality and security of resident and facility records
Participate in facility meetings, collaborate with other department managers, and provide cross-functional support as needed
Foster a clean, organized, and professional office environment that reflects Glen Park’s values

Required

Completion of high school/GED
Able to type at least 60 words per minute
Able to pass training in first aid and CPR
Able to pass background check
At least 1 year of experience in admissions or administrative roles in a healthcare, skilled nursing, or senior living environment
Strong working knowledge of Medicaid, Medicare, and third-party insurance billing
Proficient in Microsoft Office Suite, HubSpot, Trainual, and the box
Demonstrated ability to handle sensitive situations with professionalism, empathy, and discretion
Excellent communication, organizational, and problem-solving skills
Customer-service oriented mindset with the ability to multitask in a fast-paced environment
Fluency in English
