Executive Assistant (contract)

They are seeking a highly organized and proactive Executive Assistant to provide critical support to a senior executive and their team, managing a range of administrative responsibilities and special projects in a fast-paced environment.

Responsibilities
Manage a complex calendar of appointments and meetings for one or more executives; anticipate scheduling needs and conflicts
Schedule internal and external meetings, prepare agendas, capture and distribute meeting minutes, and follow up on action items
Coordinate domestic and international travel, including itineraries, accommodations, and transportation
Prepare, track, and submit expense reports in compliance with company policy
Simultaneously support up to three teams; prioritize tasks and communications based on urgency and visibility
Support moderately complex projects and contribute to implementation of policies and procedures within the team
Act as a liaison for internal communications, ensuring messages to and from the executive’s office are clear and timely—especially when interfacing with 3 separate executive leaders
Manage onsite and offsite meeting logistics, including catering and vendor coordination
Draft, edit, and disseminate professional correspondence, documentation, and reports
Proactively identify and resolve issues; exercise autonomy and judgment in addressing escalated matters
Qualification
Required
6+ years of administrative or executive assistant experience
Strong organizational and time management skills
Proficiency in Microsoft Word and Excel
Proven experience managing multiple calendars and coordinating complex schedules
Excellent verbal and written communication skills
Demonstrated ability to manage travel arrangements and expense reports
Preferred
Experience supporting multiple teams or departments simultaneously
Familiarity with onsite and offsite event coordination, including working with external vendors
Ability to operate independently, anticipate needs, and resolve issues without direct oversight
Previous experience interacting with senior leadership or executive teams
Strong multitasking abilities in a dynamic, fast-paced environment
Bachelor's degree preferred
