Responsibilities

Communicate with builders for job confirmations
Check scheduling reports to maintain dates for jobs in RFMS versus builder portal
Use and navigate builder scheduling software such as Vendor Suite, Supply Pro, etc
Check dates against other trades for Ally to make sure jobs go on time
Communicate issues with Home Managers to get jobs out on time and satisfy builders
Answer multiple phone calls daily from builders for scheduling and warranty issues
Direct Line of Contact for builders - handle warranty and customer service issues
Use builder Purchase Orders to create orders in RFMS Order Entry for service tickets and warranty / emergency appliance orders
Fix RFMS Schedule Pro issues and manipulate orders to address appliance returns and mixed delivery dates
Pick inventory on Order Entry and print pick tickets for warehouse staff
Work with warehouse Staff and managers to address job scheduling issues
Prioritize and categorize emails based on urgency, importance, and content
Manage large volume of emails. Emails must be answered within 24-48 hours to maintain customer service levels
Anticipate potential issues and communicate proactively to prevent escalations
Look in Dispatch Track software for updates on previous or current orders
Create and schedule orders in Dispatch Track software
Fix order/scheduling issues in Dispatch Track software
Upload scheduled job data to Dispatch Track software

Required

Previous home construction experience preferred
Proficient with Microsoft Office Suite, especially Excel
Resilience and the ability to stay calm under pressure
Communicate clearly and professionally, both verbally and in writing
Skilled with professionally handling upset callers
Capability to handle multiple tasks simultaneously without compromising the quality of work
Must be able to lift up to 15-20 pounds
