Event Manager, Center for Civic Futures

The Event Manager will support the planning, production, and execution of two flagship convenings, ensuring a thoughtful and high-value experience for attendees and speakers.

Responsibilities
Steward venue and vendor selection. Research, evaluate, and secure venues and vendors (A/V, catering, rentals, transportation, etc.) that align with CCF’s values, program needs, and desired attendee experience
Negotiate and manage hotel room blocks/reservations. Secure group rates and oversee reservation logistics, rooming lists, deadlines, and coordination with hotel staff
Develop comprehensive production timelines. Create and manage detailed pre‑event, on‑site, and post‑event timelines, including a full run of show that supports program flow and participant experience
Coordinate all program logistics. Oversee logistics for mainstage programming, breakout sessions, and demos, including room setups, A/V needs, signage, transitions, and on-site flow
Manage speaker logistics. Support speakers from invitation through on-site execution, including travel coordination, lodging, presentation and tech needs, and stage transitions
Oversee vendor and partner management. Negotiate contracts, track deliverables, manage timelines, and support invoice accuracy in coordination with internal teams
Budget Management and Tracking. Ensure efficient use of funds by managing the event budget, tracking all expenses and invoices, and coordinating timely payment of vendors and partners in alignment with approved budgets
Lead event operations. Oversee venue setup, program flow, A/V execution, catering, branding implementation, transportation, and all other operational elements
Manage registration, attendee experience, and speaker flow Ensure smooth check-in processes, manage attendee communications, and coordinate green room, stage flow, and session timing for speakers
Coordinate all vendors on-site Serve as the primary point of contact for A/V, catering, transportation, and other partners to ensure seamless execution
Support working sessions, demos, and networking activities Ensure breakout rooms and interactive elements are fully supported with appropriate technology, materials, and staff
Lead day-of staff and troubleshoot in real time Direct staff or volunteers, delegate responsibilities, maintain clear communication channels, and proactively resolve operational issues
Deliver a comprehensive debrief Summarize wins, challenges, and opportunities across logistics, programming, and attendee experience
Collect and analyze feedback Manage post-event surveys and synthesize quantitative and qualitative insights from attendees, speakers, and partners
Present findings to leadership Provide clear recommendations to inform strategy and execution for future events
Qualification
Required
Has led complex, multiday, in-person convenings with senior leaders or high‑trust audiences
Brings a calm, grounded presence and good judgment under pressure
Is deeply detail-oriented while also able to protect the overall experience and intent of the event
Anticipates needs before they are voiced and resolves issues discreetly and professionally
Communicates clearly, early, and often, especially when tradeoffs or risks arise
Treats speakers, attendees, vendors, and staff with respect, warmth, and professionalism
