Responsibilities
Run pod-level program management • Maintain a live view of all active work: milestones, risks, dependencies
Enforce WIP limits and capacity discipline
Own schedule health across the pod
Lead a weekly pod delivery review:
Status
Risks
Staffing
Bottlenecks
Decisions needed
Lead and coach Associate Producers (APs) • Train APs on PM hygiene:
Agendas and same-day recaps
Timeline control
Versioning and review cycles
Approval chasing and follow-through
File and asset systems
Audit hygiene weekly and fix issues fast
Build AP autonomy month over month so EPs stop firefighting
Control review cycles and approvals • Prevent endless revisions
Push approvals and force decisions
Ensure every active project always has:
A clear next step
An owner
A date
SLA: No active project goes more than 2 business days without a client-facing next step
Protect scope and margin • Identify scope creep early
Package impact clearly:
Time
Cost
Tradeoffs
Force decisions instead of letting work “quietly expand”
Reduce rework, idle time, and unplanned hours
Strengthen systems • Maintain and improve SOPs, templates, checklists, and scorecards
Drive tool discipline (Asana / ClickUp / Monday, etc.)
Ensure accurate daily time tracking (category-coded, not micromanaged)
Capacity and utilization (how delivery is run) • Maintain a simple weekly capacity view across the pod
Use time data to:
Spot rework
Identify bottlenecks
Standardize repeatable work
Make staffing and timeline decisions based on reality, not hope
What “winning” looks like (measured outcomes) • 95%+ projects hit planned milestones
(or risks are flagged early with mitigation)
No project stalls without a client-facing next step
Review cycles stay controlled (no endless revisions)
Scope creep is documented and turned into decisions
APs become more autonomous each quarter
EP time shifts from delivery firefighting to account growth
Qualification
Required

Writes crisp client communication: Clear agendas, Same-day recaps with decisions, owners, and dates
Pushes approvals and holds the line on scope calmly
Is steady under pressure and does not take escalation personally
Lives inside a PM tool daily
Is comfortable with daily time tracking
Daily PM tool usage
Same-day recap discipline on every meeting you touch
Weekly pod scorecard updated before pod review
Weekly coaching loop with APs
Daily, accurate time tracking
